Google Drive

Besides a website or individual files, Kanbu can track an entire publicly shared Google Drive folder as a source — new and changed files are picked up automatically, with no manual uploading.

1. How it works

  1. In Knowledge base, click +Add documents and select the Google Drive tab.
  2. Paste the folder link and confirm.
  3. Kanbu scans the folder and queues the files it finds for processing — same as with a website, you'll see a status for each one (Parsing, Embedding, Done, Error).
  4. On later checks, Kanbu compares the folder's contents and only downloads what's new or changed.

2. What you need

  • The folder must be shared publicly — "Anyone with the link". Kanbu does not connect to private folders via OAuth or any account-bound permission.
  • Supported file formats are the same as for manual upload (documents, spreadsheets) — native Google formats (Docs, Sheets) are automatically exported into a readable form.

3. Limits

  • A capped number of files is synced from a folder (500 by default, ordered alphabetically by name for a stable result across syncs). If you have a significantly larger folder, reach out to your Kanbu contact.
  • Sync follows the same automatic refresh setting as other sources — see Updating sources.

4. Example use case

A real-estate agency shares a public Drive folder with current price lists and terms for its properties, as PDF and Word files. Instead of manually re-uploading a new version on every change, they just replace the file in the shared folder — Kanbu notices the change on its next check and updates the knowledge base itself.

Frequently asked questions

  • Why can't I connect a private folder?

    In this version, Kanbu only supports publicly shared folders ("anyone with the link"). Connecting a private Drive via account sign-in isn't available yet — let us know if you need it.

  • What happens if I delete a file from the folder?

    It follows your configured removal behavior — see Automatic refresh and Website monitoring in Adding sources.

  • Does this work with subfolders too?

    Yes, the scan can include nested subfolders.
